question/bulk emails to clients

i would like to know how others have used
email to send out show invites.
(i am sure this discussion will be interesting to many clayarters.)

i am in the process of doing some pretty intense
upgrading of my mailing list. or, my 50 mile circle.

i would like to work with a musician friend that
does music/ art shows....he has a big email list.
younger, art interested people.

i am also going to do a very `big` show at the
hopkins center for the arts...paintings, old and new
and pots, old and new. they just accepted my
proposal...with glee i might add. (this is not a retrospective show...
that only happens when you have one foot in the grave...)
no time schedule yet for this show...but in the next year or so.

the art center is just a few years old, with a great
gallery. i am proposing to do a show that we include invites to
former students...get some mailing lists....reunion type
lists. this would include newspaper etc. stories/hype.

the only way to improve your mailing list is to make things happen.
i am doing that.

Mel,

Depending on how big your list is, you might just be able to
send out a Bcc: (blind carbon copy) mailing.

There are various ways to go about sending out to a large mailing
list so as not to trigger your ISPs daily or hourly email limit.Some
providers have limits as low as 200 emails per day. http://
www.arialsoftware.com/KnowingYourISP.htm Comcast limits to 1000 per
24 hour period. Speak to your ISP or web host and see what they offer.

I've only used Mailman with htmlmime on Thunderbird, which worked
very well, but here is a kitchen sink of various other options.
Beware that many solutions (hopefully not the ones here) are created
for bulk spammers.

Constant Comment, AWeber and CoolerEmail are some known commercial
bulk mailers. They generally have web interfaces and handle much of
the back end work themselves but you have to pay to use them. Zookada
too.

Mailman is an open source bulk mailer for managing mailing lists.
Various web hosts have it pre-installed and accessible as a one-click
type install for their users or it's free and easy to install on your
own server. http://www.gnu.org/software/mailman/

Check out various add-ons for Thunderbird or Apple Mail that stagger
emails so as not to trigger your ISP's spam detectors. Mojo, MaxBulk
Mailer for Mac and PC, Bulk Mailer Professional. Google on the name
of your preferred email client plus the words 'bulk mailer' or
'mailing list' to get various options. Or go to a source like http://
www.versiontracker.com or download.com to see what's available.
MailQueen and BigSender are popular.

There are a number of mailers that work server-side with bulk
Multipart/alternative emails so that you can send images and
formatted mail, newsletter-like, and not cause problems for people,
like me, who read email in text primarily. htmlmime is one solution.

Mel -

I use the Mail Merge feature in Microsoft Word to do mass email. You
create your form letter in Word, and can insert variable fields into the
template that get filled during the merge with the recipient's name and
such to personalize the message. You select email as your delivery
method. The actual mailing list can be created using a tool of your
choice, which may include, but are not limited to, Word, Excel, and
Access. When you are ready to send your mailing, you just open the form
letter document in Word, and execute the Mail Merge function. This is how
I have been sending out the partner notifications for the Clayart stay-at-
home exchange, among other things.

If your ISP limits the number of emails you can send, you can break your
mailing list into chunks and send each chunk separately using the same
form letter template.

kathy forer's response is right on. i would like to add
another consideration:
my isp (worldnet) also limits the number of addresses
PER EMAIL. unfortunately i learned the hard way the
first time around. worldnet's limit turned out to be about
20-25 addresses for one email. and there is NO WHERE
this limit is explained or mentioned! i cut up my mailing list
into many 'group' lists of 20 email addresses each. worldnet
has recently made some changes, so i don't know if this
silent limit has been increased, but just to play it safe, i still
use the grouped lists and mail them out over the course of
a day. as kathy mentioned, it's probably best to talk to
someone in your isp.

Another way to go is to make an announcment only list on Google Groups.
