Hi

Local artists here are in the planing stages for our fifth annual studio =
tour
Nov. 12=26 13 and 20=26 21. I'm asking advice from this group as to how we =
can make
this tour an even better event. We have four committees: Marketing, =
responsible
for publicity(free), advertising (paid), poster creation and distribution (a
collectable work of art that we may be able to sell or use as an incentive =
gift
to patrons who visit all or most of the tour locations), flyer distribution
(other than mailing) signage (creation of a highly visible and consistent =
motif
for the entire tour). Finance, Raffle =26 Mailing List Committee: =
responsible for
coordinating the budget, coordinating the raffle in cooperation with Women =
Care
Shelter, our intended beneficiary, and coordination of the group pooled =
mailing
list and communications with the bulk mailing people. Display committee:
responsible for locating sites for and creating displays of our work for
publicity (gallery displays in communities where visitors are likely to =
visit
from). And finally the flyer/map committee: responsible for designing and
producing our flyer/map.

Any and all suggestions will be greatly appreciated.

Ed,

I don't know where your studio tour is taking place, but from personal
experience I know I'd appreciate having a very good map and clear, overly
explicit written directions to each studio.

Last year I went to a new area to a studio tour and ended up never
finding several studios. If you assume that people using your map and
directions don't know anything about the roads in your area, you won't go
wrong! It might also help if you assume that people are directionally
challenged as well. Write those directions for a 10 year old new to your
part of the country!!

Good signage as you approach each studio would also be nice. An arrow on
top of the words, "Open Studio" would be helpful at the beginning of any
close streets where you turn. And please make sure the entrance to each
studio is clearly marked! I know that helium filled balloons pose a
potential danger to wildlife, but they certainly make it easy to spot an
entrance!

While in South Africa in 95, I discovered "Craft Tours" - each area, such
as a city or county would have a group of crafts people who banded
together with local bed and breakfasts, tea rooms - to put out a map ,
some with photos of the crafts people, some with just good information.
These maps, and the dates ( in S.A. they seemed to do one weekend per
month year round as art fairs are not an established venue) . For
instance one place might do the first weekend of the month and the next
weekend the county or region next to it would have one - each Crafts
person had their own display room - from humble to full gallery. I was
not on Clayart then, but I met some wonderful people. I stopped for
lunch at a charming place out in the country , "The Moon and Sixpence"
where one could picnic or experience home cooking in a country restaurant
set in lovely gardens. I then continued on my way with my trusty
map...each place had a small placard that identified the group, such as
" The Crocodile River Arts and Crafts Ramble" who used an alligator , no
words. They had a 4 page 11 X 17 map with photos to the places experience
home cooking in a country restaurant set in lovely gardens. They also
listed other events in the area such as a trout farm and botanical
garden....the studios were listed as only open " Ramble " weekend but the
other places gave their normal hours. So , they had the financial input
of other businesses to help with the expense of the map and publicity and
many more places to have the maps available for people to pick up
....prior to the event. This might work even if your event in only
annual. I managed to make 2 arts and crafts weekends while I was there
and saved the maps and literature - but more than that, I cherished the
opportunity to meet and talk to other craftspeople. Perhaps a few coffee
houses or restaurants might be interested in "joining" in on your
tour....good luck.
